What we doThe Mansions · Business automation services

Automation systems.

We find the work your team does by hand every day, from the first enquiry to the books, then build the systems that do it for them.

What business and AI automation services actually do

Business automation sets up software to carry the repeat steps that move work through your business, so nobody has to push a job from one stage to the next. We build it from three blocks.

  1. Data, in one place

The first is your data, in one place and connected, so every person and every tool works from the same picture.

  2. Automations

Then there are the automations. When A happens, B, C and D follow. It's a straight line, and until recently that was most of what you could really rely on.

  3. AI in every step

And then there's AI, a brain in every step. When A happens, it first understands what A actually is, then picks B, or K, or Z. That's what people mean by AI business process automation. You'll also see it sold as business process automation services or workflow automation consulting, and the job underneath is the same.

An agent is that brain with a job to do. It reads, decides and takes the next step. The way we build them, a person stays at every step where judgement matters.

Every business looks a little different, but the work passes through the same eight stations: seven around the edge, from getting clients to doing the accounting, and one place in the middle that all of them feed. At each one, part of the work can run on its own while part of it should always stay with your people.

Station 01 · Getting clients

A lot of the time, getting more clients just means answering faster, before the person who was ready to buy slips further down a busy inbox.

An agent can read every message the moment it lands and check what the person wants against what you offer. When someone's a good fit, it brings you a short brief on who they are and what to do next, and it can even book the call.

It can also keep track of every lead and, once a job is done, ask the client for a referral. And when a new opportunity shows up somewhere you're watching, it can catch that too.

Stays with your team

The first real conversation, and the call on whether a lead is worth chasing.

Station 02 · Meetings

The meeting goes really well, and then the follow-up waits for a quiet hour while the notes stay in one person's notebook.

An agent can go through the whole conversation from the recording, draft a summary for the client and file everything in that client's record. You get a list of what needs doing, and because it's connected to your other tools, it can offer to start on some of it.

Before the next meeting, it can pull together what has changed, so whoever runs it walks in prepared.

Stays with your team

The meeting itself, and the yes on anything that goes out to the client.

Station 03 · Quotes

Then comes the part we all dread, the quote. A job is rarely one line, and with materials, hours, extras and suppliers' prices, it gets messy when you're pricing on the go.

You can teach an AI how you build your quotes, from your own price lists and past quotes. It reads what the client asked for and hands you a quote ready to check and send. At first you might correct it a little, and each correction goes back into how it prices.

Once the quote goes out, automation can track it and remind the client for you.

Stays with your team

The final price, and the conversation with the client about it.

Station 04 · Doing the work

Once the client says yes, the real work starts, and so do the hand-offs. The promises from the sales call have to reach whoever does the work.

Automation can run onboarding from the moment the client pays. The intake form goes out, the contract comes back signed, and the folders, the access and the welcome email follow on their own.

When work passes between people, the brief, the files and the client's details go with it. An agent can also send each supplier exactly what the job needs and follow up until it's in your hands.

Stays with your team

The work itself, the kickoff call and every call on quality.

Station 05 · Getting paid

The job's done, so it's time to get paid. Sometimes the invoice is typed up by hand, or fixed after one tool drops a field on the way to the next, so it goes out late or wrong and someone has to chase it.

Automation can raise the invoice from the job or the order the moment it's done, with every item, price and amount filled in. An agent can stay on top of the client, politely, until the money is in. When the payment lands, it can match it to the invoice.

Stays with your team

The conversation with a client about money, and the final sign-off on the numbers.

Station 06 · Profit or loss

Sooner or later, every owner asks the same question. Did this client actually make us money?

If your numbers live in a handful of places, that's hard to answer, and it's nobody's fault. Once the quote, the orders, the hours and the invoices are connected, you can see what you earned on every client and every job, what it cost and what was left.

Automation can put that in front of you every week, without anyone building a spreadsheet first. You might even find out that your favourite client is the one costing you money.

Stays with your team

What you do about it, from your prices to which clients you take on next.

Station 07 · Admin and accounting

And then there's the admin that keeps the lights on, from the accounting and the bills to the paperwork for your taxes.

Agents can check the month's invoices against your accounting, find the documents that are missing and ask the right person for them. They can also sort the bills that come in and get them ready for your approval.

If you hired someone, could you train them to do this job? If the answer is yes, most of the time AI can do it too. You just have to teach it.

Stays with your team

Your accountant's judgement, and the sign-off on anything you file or pay.

Station 08 · One place

This is where it all comes together. Once your stations run through AI, it holds the whole picture of your business: how you get your clients, your meetings, what you quoted, the work, the invoices, what each job made, the admin and the accounting.

So you can ask it anything, about any part of the business, and it answers with all of that context behind it. Which quotes haven't had an answer yet? What did we promise this client in our last meeting? Which invoices are overdue?

It's one system that knows your business and helps across every station, instead of one spreadsheet for quotes, another for orders and a wall of notes for the deadlines.

Stays with your team

The decisions you make from it, and who gets to see what.

Automations we have built

Every one of these is a real build, for a real business. The names are left out, and the numbers come from our own records.

Built

A listing monitor

A real estate investment fund

A full working day, every day, went into reading property listings by hand against five criteria. We built a monitor in a day that reads every new listing the moment it appears and checks it against those criteria. The first qualifying property it caught landed in the fund's spreadsheet on its own, fully filled in.

Built

A lead list built to keep itself fresh

An insurance brokerage

We turned two public business registers into one list of leads, with the details the registers' own download leaves out. Then we built two agents to keep it fresh, one to pick up new businesses every day and one to refresh the rest on a schedule, so the list is ready to load into a CRM and start reaching out.

Built

A post-meeting agent

A digital marketing agency

We built an agent to pick up each call's transcript on its own, work out which client it belongs to and write the recap in the agency's own format. Then it stops, and nothing reaches the project tool until a person approves it.

Built

A quoting agent

An owner-run contractor

We built a quoting agent to price each job from the owner's own labour and material rates, with a real calculator doing the maths underneath. It lays the quote out the way the owner already sends it, ready to check.

Built

Onboarding that starts at payment

A UK marketing agency

Every new client used to take 6 to 8 hours of admin, more than 250 Drive folders built by hand included. We built an onboarding that starts on its own the moment a client pays. The first client after go-live went from payment to welcome email in under five minutes.

Built

Account-manager agents

A digital marketing agency

We built 30 agents to handle an account manager's daily and weekly routines, from sorting the inbox to watching each client's hours and preparing the next client meeting. Each one puts its work on the account manager's desk, and a person decides what goes out.

Built

An order path, end to end

An online store

Every order was carried by hand from the owner's inbox to the carrier, and invoices were fixed by hand because the connection to the accounting tool dropped fields. We joined the whole path in under a week, from the order to the tracking email and on to a complete invoice. The first order after the system took over went through end to end with nobody touching it.

Built

A month-end document hunt

A small accounting practice

Every month, invoices with no document filed against them meant hunting through email for the missing ones. So we built an agent to search each client's email for the missing invoices and match them on the invoice details. Its job is to file what it finds and report what is still missing.

How we work

It always starts with our free consultation. We study how your business really runs, then hand you the plan, with every problem priced and every fix designed. From there, the decision on what to build is yours, and once something's live, we stay on it and keep improving it.

See how the free consultation works

What you own, and what drives the cost

You own all of it

  • Your data, tools and builds. What we build is yours, so nothing stops working if we stop working together.

  • The report. Before anything is built, you hold the report, with every problem priced and the fixes put in the order to build them.

What drives the cost

We don't publish prices, because every business is wired differently. Four things move the cost of a fix:

  • The hand-offs. How many of them the fix covers.

  • The tools. How many it has to connect, and whether those tools let us in.

  • Your data. How clean it is before we start.

  • Build or buy. Whether a tool on the market already does the job, or it needs a build.

Then there's what it costs to run, like software subscriptions and the AI usage a fix needs each month. The report prices every fix, to build and to run, next to what it gives back in hours or money, with the working shown.

Two ways to work with us

  1. Project by project.

You pick a fix from the report, we build it, and you pay for that project.

  2. An AI subscription.

Monthly access to the whole team, building one solution at a time until it's all built.

Is automation what you need?

Not every problem in a business needs an automation built for it. Find the line that sounds most like you, and you'll see what you actually need.

If this sounds like youWhat you need
Your team spends hours every week moving work between tools that don't talk to each other.
Automation built around how you already work. That's what we do.
You have one simple, repetitive task, and you already know which tool fits it.
Someone to set that tool up. It's a much smaller job than this, and worth knowing before you spend anything.
You need help with email, backups or devices.
An IT firm, who will serve you better than we will. We only touch IT where the AI needs it.
You want to buy a software licence.
A reseller. We don't resell software or robotic process automation licences.

And if you book a free consultation and we're not the right fit, we'll tell you on the call, and you'll still leave with pointers to get organised and move forward.

Frequently asked questions

It moves work and information from one step to the next without a person carrying it, so a signed contract can set up a project and a finished order can raise its own invoice. In the builds on this page, that meant a payment starting a whole onboarding, and an order going from the store to the carrier and on to a complete invoice.

Here's one from an online store's order path. We built it so each order lands in one record the whole team can see and goes straight to the postal carrier. The tracking number comes back to the store, the customer gets the tracking email right away and the invoice is raised complete. Before, each of those steps was done by hand, and the owner spent an hour or more every Monday pasting tracking numbers in, one at a time.

Neither is better. They do different jobs. RPA, short for robotic process automation, copies what a person does on screen, which suits old systems with no other way in. AI reads and writes, so it can sort an enquiry or pull figures from a document. RPA is still a thing, and we think it works best as the fallback where tools can't connect directly. Most builds on this page connect the tools directly and use AI where something has to be read, like a new listing or a call transcript.

A business automation consultant works out which of your repeat steps should run on their own, then designs the automation and often builds it too. That means time with the people who do the work, following a job from the first enquiry to the invoice and counting what each hand-off costs. Ours ends in a report with every fix priced to build and to run, and the decision on what to build left with you. If you're comparing firms, we wrote down how to check an AI consultant before you hire one.

Most of it comes at the start. For the study, we need access to the systems you already run and time with the people who use them every day, in a round of interviews. Once something is built, we ask the people who'll use it to run real work through it and tell us where it's off. Builds go live one at a time, so nobody's whole week gets turned upside down at once.

Yes, and we'd encourage it. The plan is yours at the end, so you can build it with us, with someone else or on your own. If you want to try something tomorrow, start with your quotes. Give an AI assistant your price lists and three of your past quotes, then ask it to build the next one and see how close it gets. We usually come in for the connecting, so the quote, the order and the invoice all talk to each other.

Yes, building AI agents is a big part of our automation work. An agent reads, decides and takes the next step on its own, so we build it into the work your team already does. On this page alone there's a post-meeting agent built to draft the recap and wait for a person's yes, and the 30 account-manager agents we built for a digital marketing agency. A person still stays at every step where judgement matters.
